Project tracking: what going on

Posted on May 28, 2008 | Filed Under State-of-the-Art Technologies

Supervising projects is a difficult job that involves dealing with 4 traditional variables: expenditure, schedule, time and producing a satisfactory result. A more ambitious goal is to optimize work processes and resource attribution. Most tasks utilize such elements as people, money, and equipment to achieve something of value and meet objectives. You may come across a number of things that are crucial for effective project management. Some of them can be found in the next paragraph:

- Setting objectives and conducting analysis.

- Handling uncertainty. Most have a certain level of uncertainty.

- Choosing labor and equipment for the project.

- Defining the outcomes of the project.

- Controlling the project in terms of who is doing what and at what time.

- Making sure that the outcomes of the project are of satisfactory quality.

- Dealing with change. Everything changes. All projects develop in time, so the factor of change should be accounted for.

- Exchanging information with sponsors and participants of the project.

To deal with these components you can employ pencil and paper or probably a spreadsheet program. However, dedicated project tracking software offers a number of important benefits:

- Idividual jobs are smoothly assigned to time blocks. The length of work can be calculated by the program using the workload data. Every resource can have their own time-table. It just as well simplifies tracking progress on various jobs.

- Dealing with several projects and meeting a number of requirements. Management can use project management software to facilitate analysis of several big projects.

- It assists you in finding the critical path. The critical path is a primary concept in project management. If an activity on the critical path lasts more time than the manager planned, the whole timing of the project will be changed. It should be noted that for activities that are not on the critical path small modifications in how long it takes can have no effect whatsoever on other activities.

- Letting all involved be aware of what is happening. The more complicated are the project needs, the more of them have to be talked about. Groupware productivity tracking software enables each participant to be on the same page at any given point in time.

Should you always choose task tracking software?

Similar to any other tool, project management software has its issues. It produces the best value when employed for a number of big projects. Small projects can be supervised using a spreadsheet program which allows you to save on overhead costs of managing such complex software.
